Information for Presenters

 

Oral presentations

Presenters are expected to make their presentations available to the AV staff no later than the break before their session.
Please see the detailed programme for the timing of individual talks.

Duration

The time allocated for invited talks is 40 minutes. Presenters are expected to allow 5-10 minutes for questions and discussion.
Other talks are expected to last 20 minutes, including 3 - 5 minutes for questions from the audience.

File formats

The venue uses a PC laptop for the oral presentations. This will allow presentations in either Power Point or PDF formats. If your presentation includes video or animations, please ensure that this is in a common format such as QuickTime Movie (.mov) or MPEG-4 (.mp4, .m4v)

 

Poster presentations

There are two formal poster sessions, on Wednesday at 14:00 (Theme 1) and on Thursday at 15:20 (Themes 2 - 4). Posters will be on display throughout the meeting in order to allow participants to view posters and discuss these with presenters during breaks between oral sessions.

Poster numbers

Each poster has been allocated a poster number, which was e-mailed to you 20 May, when your abstract was accepted by the SCC. You can also find the number of your poster by looking at the poster list under each theme. The poster boards will be marked with these numbers, and it will help viewers find you poster if you use the board allocated to it.

Poster size

Posters will be displayed on double-sided poster boards, designed to take A0 Portrait posters. This means that your poster must be no wider than 89 cm (just under 36 inches). The poster boards are side by side, so posters that are wider than this will spill over onto adjacent poster space, and will therefore cause a problem.

 
Poster printing

Please note that we do not offer and organised poster printing service. However, if you wish to have your poster printed in Bristol, the Bristol Science Centre have recommended the Doveton Press http://www.dovetonpress.co.uk/.

Cost and payment method

Doveton charge £25 to print an A0 poster on glossy paper for indoor display. Delivery to the Bristol Science Centre (the meeting venue) costs an additional £5. This compares favourably with other printing services in Bristol.

Payment is required in advance. Doveton Press can take payment over the phone, but are not set up to handle on-line credit card payments.

Deadlines

Doveton need a minimum of 2 days (after receiving the pre-payment) to print the poster. Allow a further day for delivery to the Science Centre.

Making presentations available on line

As in previous meetings we would like to make presentations available on line, linked from the abstracts and programme. It will help us do this more effectively if you could prepare a PDF version of your presentation in advance, and give this to Val Byfield or Nicola Lewis at the meeting. Oral presenters should remove any slides they do not want to include in the on-line version.

Presentations will only be available to viewers who give a valid e-mail address. We keep track of presentation downloads using these e-mail addresses.

Restriced viewing

As in past years we can password restrict presentations that contain material you do not want to make openly available.
This can be done in one of two ways:

  1. Restricting the presentation to participants at the meeting. Access is available only to those with a valid e-mail address who can provide the password circulated to participants. e-mail address and a password given only to participants.
  2. The presenting author is responsible for distributing the download password, which has been agreed with the meeting organisers and may be changed on request.
